HSIT WEBSITE CHATBOT ANSWERS COMMON QUESTIONS: The HSIT AI Chatbot is now available in beta mode in the lower right corner on the HSIT website. Pioneered by John Eberhart with development support from early career staff Mitchell DeCesare, Ruben Kwigwasa, and Hunter Conway, the chatbot helps users quickly find answers to common IT-related questions and better navigate HSIT services. For example, ask the chatbot how to request HSIT with a specific topic, start a new project, store or analyze sensitive research or clinical data, identify who supports an application, or start HSIT review before purchasing or implementing new software.
Still in beta version, chatbot responses may not be fully validated. Explore the chatbot and share feedback with HealthSciencesITLeadership@yale.edu to shape future enhancements to the HSIT AI Chatbot.
FOUR MED ED IDEAS REALIZED AT THE APRIL YSM IDEATHON: The second YSM Educational Technology & Innovation (YSM ETI) ideathon took place on April 20, bringing together 33 faculty, staff, students, and residents to address challenges in medical education using artificial intelligence and extended reality.
The session opened with reflections on successes from last year and an invitation for participants to experiment, iterate, and collaborate across disciplines. Attendees heard six problem pitches, learned about Yale-supported AI tools to support ideation and development, and then worked in small groups to brainstorm solutions, with four of the proposed ideas further developed into prototypes during the half-day event.
INTRODUCING HEALTH SCIENCES BI & ANALYTICS COMMUNITY OF PRACTICE: The Health Sciences BI & Analytics Community of Practice (HSBIACOP) is a new forum hosted by HSIT Enterprise Analytics that brings together people across the health sciences who work with data, reporting, and analytics. It’s a chance to break out of silos, connect with peers facing similar challenges, share what’s working, and crowdsource ideas and solutions—whether you’re a faculty member, analyst, administrator, or IT professional.
HSBIACOP will host periodic lunch & learn and office hours, with events confirmed for April 28 and May 13. Request to join the Teams site and browse the Sharepoint site.
YSM LEAVE ELIGIBILITY POPULATION 360 DASHBOARD NOW LIVE: This month, Health Sciences IT (HSIT) Enterprise Analytics team released the new Leave Eligibility Dashboard in the Population 360 app (Secure Reports). Built in partnership with the Office of Academic and Professional Development, the dashboard enables YSM leadership and department administrators to plan more effectively for academic leave. Built on Workday data and aligned with the Faculty Handbook, the dashboard streamlines complex eligibility calculations for triennial and sabbatical leaves.
It supports decision-making for complex leave scenarios, such as part-time faculty and phased retirement, providing clearer, fiscal year-based eligibility outputs, improved usability, and transparent logic via tooltips and definitions. Contact askhs-analytics@yale.edu to learn more.

USING AI TO IMPROVE ACCESS TO SOCIAL SERVICES: Yale School of Public Health (YSPH) alum Blake Robertson ’24 MPH is applying artificial intelligence to a real-world challenge he experienced firsthand: the difficulty of finding and accessing social services when they are most needed. Drawing on his personal experiences as both a caregiver and a recipient of care, Robertson founded Keeper Systems (formerly Upkeep Care), an AI-powered platform designed to simplify how individuals and organizations connect to critical resources.
The platform builds digital tools including AI assistants that help partner organizations such as the United Way of Connecticut guide people to services spanning housing, transportation, and financial assistance. By focusing on usability and access, Keeper Systems aims to reduce the barriers that prevent people from using available support, addressing a gap where many social resources remain underutilized despite significant need.
