xChange Series - Health Sciences IT
HEALTH SCIENCES IT XCHANGE SERIES LAUNCHED – FOR BETTER IT SUPPORT TO THE COMMUNITY: Health Sciences IT (HSIT) recently launched the new IT xChange Series, an ongoing forum designed to connect the people, services, and upcoming improvements that support day-to-day work across the health sciences community. The series serves colleagues in Yale’s Schools of Medicine, Nursing, and Public Health, and Yale Health, creating a space to share updates, surface pain points, and to gather feedback that helps improve the overall customer experience. The panelists in the inaugural session presented the HSIT team’s service areas and highlighted recent and planned enhancements, including Yale Box-to-OneDrive migrations, efforts toward more centralized and trackable software intake process, learning management system updates for MD and PA programs, enhancements to AV-supported spaces, new tools designed to streamline support and research workflows and new AI-enabled support capabilities. The launch was well received, with engaged discussion and actionable follow-ups captured for the team to address and incorporate into future sessions.
CLARITY AI “HEALTH” CHATBOTS RELEASED: In a significant step towards expanding responsible generative AI across Yale Health Sciences, HSIT has released new Clarity “Health” chatbots on March11, 2026, that support a limited set of approved workflows involving electronic protected health information (ePHI), bringing added privacy, security, and compliance safeguards to clinical, research, educational, and administrative use cases. Faculty and staff can access the tools through the Clarity platform and are encouraged to review the Yale Standards for Using AI Tools and Chatbots in Health Sciences for guidance before using AI in settings where patient or research-participant data may be involved. Users who are not in the Yale University HIPAA Covered Entity who want access to the new Health chatbots must submit a request to the ITS helpdesk.
For technical support questions related to Clarity, please reach out to the ITS helpdesk.
CLARITY PLATFORM ENHANCEMENT UPDATES: The latest updates for Clarity Platform released on March19, 2026, brings smoother experience and new capabilities for approved users across campus. This release introduces self-service custom agents - so you can create, manage, and share agents directly in the user portal, along with improved file uploads, clearer error messaging, and automatic conversation naming to keep your chat history easier to navigate. Major model upgrades (including the newest GPT and Claude versions) are also rolled out to boost quality and performance, and approved users may request secure API access for Custom Agents via Azure Key Vault.
Due to the upgrade of the GPT and Claude models, existing conversations that used GPT4o, GPT4o mini, or Claude Sonnet 4.5 can no longer be continued. When users open a previous conversation with one of these models, Clarity will prompt them to select an agent and will open a new chat window.
NEW RESEARCH AND SPACE DASHBOARDS ENHANCE DATADRIVEN DECISION MAKING:
Health Sciences Enterprise Analytics released several new and updated dashboards in Feb.2026, to provide Yale School of Medicine (YSM) and Yale School of Public Health (YSPH) leadership with clearer insights into research performance, funding, and space utilization.
The new ‘YSPH Research Dashboard’, consolidates pre-award proposals and post-award financials into a single, comprehensive reporting experience. The new ‘YSM Office Eligibility Report’ integrates Workday HR and Facilities data to support informed decisions around office allocation, utilization, and policy compliance. With the introduction of the new summary ‘Allocated Group report in the Space Dashboard’, space administrators have a building and mission level view of square footage to support strategic space planning across YSM.

CONSENSUS AI FOR LITERATURE AND RESEARCH NEEDS:Consensus is an AI-powered academic research tool that helps faculty, students, and researchers quickly find and synthesize peer reviewed literature across all disciplines. Unlike general AI tools, Consensus searches vetted research papers and provides transparent, citation-backed summaries that support literature reviews, grant writing, and evidence-based decision making. By surfacing key findings, highlighting areas of agreement or disagreement in the research, and linking every insight to real studies, Consensus enables the university community to work more efficiently while maintaining academic rigor and integrity.
Faculty, staff and students can access this tool through AI Yale website.Best practices can be found here. Please leave trial feedback via this form.MYCHART - ENHANCED FEATURES FOR A BETTER DIGITAL EXPERIENCE:Yale Health pharmacy has made recent updates to MyChart that further improve usability, performance, and access to health information. These enhancements focus on a more intuitive interface, improved navigation, and expanded self-service capabilities, making it easier for patients to manage appointments, view test results and after visit summaries, request prescription refills, communicate with Yale/non-Yale health providers, and handle billing tasks securely. These changes reflect our ongoing commitment to improving digital experience while ensuring reliable, secure access to health services.
YALE NURSING RESEARCHERS LAUNCH "CARDIO" AI TO BOOST HEART HEALTH EDUCATION: Associate Professor S. Raquel Ramos, PhD, MBA, MSN, FNYAM, FAHA, FAAN, of Yale School of Nursing is leading a multidisciplinary team to develop CARDIO, a specialized large language model designed to close gaps in patient education for cardiovascular disease. Unlike general AI, this tool is fine-tuned on evidence-based clinical guidelines to provide accurate, accessible advice on managing risks like high blood pressure and diabetes through lifestyle modifications. Intended to complement clinical visits, the technology allows patients to ask follow-up questions or use interactive icons based on the American Heart Association’s "Life’s Essentials" framework, ensuring they receive high-quality, supplemental health guidance even after they leave the doctor's office. YSPH USING AI TO FORECAST THE NEXT PANDEMIC: Yale School of Public Health researchers are using advanced AI and computational modeling to help forecast the next global pandemic through the Viral Emergence Research Initiative (Verena), now headquartered at Yale. Led by Colin J. Carlson, PhD, assistant professor of epidemiology and executive director of Verena, the interdisciplinary team applies machine learning, predictive algorithms, and open science data platforms such as PHAROS and VIRION to model how viruses spill over from wildlife to humans. By combining tools like protein structure modeling, climate and migration data, and AI driven risk assessment, Yale scientists are transforming vast, complex datasets into actionable insights that support earlier detection and prevention of emerging infectious threats. YALE HSIT ENABLES SECURE GLOBAL DEMENTIA RESEARCH THROUGH FEDERATED DATA SHARING: Yale Health Sciences IT Research Systems is supporting the Global WW-FINGERS Dementia Prevention Initiative, led by Miia Kivipelto, MD, PhD, by implementing a federated data-sharing platform that enables secure collaboration across international research institutions. The project leverages the Federated Data Sharing Appliance (FDSA), developed by the Alzheimer’s Disease Data Initiative, to allow researchers to analyze dementia research datasets without moving sensitive data outside their home institutions. This approach strengthens data governance while enabling large-scale collaborative studies aimed at preventing cognitive decline and improving brain health outcomes for aging populations. The platform will support researchers participating in the WW-FINGERS global network, expanding Yale’s role in international dementia research while accelerating scientific discovery through privacy-preserving data collaboration. Initial deployment and technical review are currently underway, with broader research use expected following institutional approvals and IRB completion. MARCH 2026 TIPS AND REMINDERS FOR IT SERVICE CHANGES FOR HEALTH CAMPUS: Upcoming Announcements
HSIT Pilot – BeyondTrust Endpoint Privilege Management (EPM)
ITS is piloting a new process for computer admin access using BeyondTrust Endpoint Privilege Management (EPM), which provides temporary “just-in-time” (JIT) administrative privileges instead of permanent admin rights.
Starting March 23, 2026, HSIT staff who currently have local admin access on their computers will have privileges removed and will request temporary elevation through BeyondTrust EPM when performing administrative tasks.
This change supports the university’s least-privilege security model, reducing risks from malware, ransomware, or accidental system changes while still allowing necessary IT work.
HSIT staff are part of the initial pilot to test workflows before a broader rollout across the university.
Users who need permanent admin rights must submit an exception request, and participants are encouraged to submit feedback through the pilot feedback form.
Launched March 6, 2026, and included updates on improvements to IT customer service, demo of new chat tools, recent changes to the website and service portal, and more.
Next meeting will be held via zoom on Apr. 28, 2026, from 11a.m.-noon
Yale’s IT team will migrate the current YaleSurvey Qualtrics online survey tool to a new data center this spring to comply with data privacy laws and regulations.
The migration will occur between June 15–18, 2026, lasting approximately 3-5 days.
During this time, surveys will remain active and continue collecting responses, but users will not be able to log into their accounts, distribute surveys via email/SMS, upload offline responses, or access real-time integrations.
Triggered survey emails and some third-party integrations may be delayed until the migration is complete.
Before migration, users should log in using Single Sign-On (SSO), and after migration all surveys and historical data will be preserved, though some SSO-restricted surveys may require configuration updates.
