YSM Educational Technology & Innovation Team visited the Apple office in New York City for an Apple Vision Pro Workshop. A Fall 2025 pilot study is underway with first year medical students in the anatomy class.
REQUEST ACCESS & HELP FOR NEW RESEARCH COMPUTING SERVICES: HSIT in partnership with Yale Biomedical Informatics and Computing and Yale Center for Research Computing launched Yale's advanced computing platforms, known as Hopper, Spinup+, Spinup, and the CHP environment. Researchers can now easily submit project requests directly to Research Systems and receive guidance on the best-suited infrastructure for their needs. Since its launch in August 2025, the team has processed 43 project requests. The HSIT Research Systems team assists with configuration and policies to ensure that research projects are securely planned, documented, and operated in alignment with Yale’s mission.
AI SIMPLIFIES CURRICULUM SEARCH FOR YSM: In partnership with Harvey Cushing/John Hay Whitney Medical Library, HSIT YSM Educational Technology Innovation (ETI) team has developed an advanced curriculum search tool powered by multimodal Large Language Model (LLM) to streamline navigation of the MD pre-clerkship curriculum. The conversational search tool enables faculty, staff, and students to efficiently search and summarize 2000 PDF files from the 2024-2025 preclerkship curriculum. Integrated with a library-developed AI agent named AskHarvey and supported by a robust tech stack, the tool enhances search accuracy and speed. Initial validation involving 15 users yielded positive feedback, emphasizing the tool’s usability and efficiency. The tool is available for select faculty and staff audiences beginning September 2025 with a plan for broader roll-out in the months to follow. For more information, email Innovate.MedEd@yale.edu. The platform is currently approved only for low-risk data.
SAVING YSM INSTRUCTOR TIME FOR STUDENT FEEDBACK: HSIT YSM ETI has developed an AI-powered platform to automate written narratives of verbal feedback from instructors to learners. Utilizing Whisper for transcription and Google DeepMind Gemini 2.5 Flash for natural language processing, the platform integrates these technologies through Yale’s Clarity AI Platform API. This tool addresses the time-consuming process of manual feedback documentation by faculty by transcribing and analyzing speech in near-real time and delivering structured, timely feedback to learners. Initial pilot testing with five YSM faculty members in August -Sept 2025 demonstrated an improvement in both the quality and efficiency of written feedback for medical students. The ETI tool is currently approved only for low-risk data, with goals to expand to high-risk data once that functionality becomes available in Clarity.
INTEGRATON WITH IMMUNIZATION REGISTRIES SAVES COMPLIANCE TIME: Health On Track is the university compliance system for health requirements used actively by 25,774 individuals across Yale, including all current students. To streamline the onboarding for incoming summer and fall 2025 students, HSIT Campus Health added integrations with TrackMy state immunization registry integration service. Students who received their childhood vaccines in the U.S. can opt-in to check up 41 states for all the Yale required and recommended student vaccines. Since the launch, 3,045 students have queried the registries with 2,468 (81%) finding matches. With TrackMy, 39% of students auto completed their immunization requirements for meningococcal ACYW, 30% for tetanus diphtheria, 25% varicella, 25% for measles mumps and rubella (MMR), and 25% for hepatitis B. This integration ensures higher data quality than the student forms and saves students, student providers, and Yale Health Campus Health time in document review. The HSIT Campus Health team aims to expand this to employee vaccines later in FY26.
STREAMLINING NURSING AND PUBLIC HEALTH STUDENT ADMISSIONS AND ENGAGEMENT: The Yale School of Public Health (YSPH) and the Yale School of Nursing (YSN) both use Liaison platforms to simplify admissions and improve engagement with prospective students. YSPH uses the Enrollment Marketing Platform (EMP) for communications and analytics to foster close-knit academic community. With a target of 300 on-campus students each year, YSPH emphasizes mentorship and meaningful connections. EMP helps the Office of Admissions track email engagement, monitor recruitment event attendance, and maintain a strong pipeline of future public health leaders. YSN uses NursingCAS, Liaison’s centralized online application system WebAdmit, which lets students apply to multiple nursing programs nationwide with one application and transcript submission. For a fee, applicants can apply to multiple programs at once. Admissions teams benefit from secure, cloud-based tools to review applications, score candidates, manage interviews, and collaborate across departments. NursingCAS also provides admissions criteria, program updates, and recruitment event notifications to support aspiring nurses. HSIT supports these Liaison applications by ensuring they comply with university information security standards and align with broader infrastructure policies, including data protection, risk assessment, and regulatory requirements.
HSIT AUDIO VISUAL TEAM POWERS YALE’S EVENTS AND LEARNING SPACES: As Yale’s health campus continues to grow and evolve, the HSIT Audio-Visual team stands at the forefront—ensuring that every lecture, event, and classroom experience is seamless, whether in-person or virtual. From academic and community events to special engagements, the team handles classroom technology setup and troubleshooting, AV support for events of all sizes, and other AV consultations and equipment repairs. This team covers 502 rooms across 28 clinical and 10 basic science departments and 65 community-wide rooms, 5 auditoriums, 20+ classrooms/labs, and executive conference rooms. Whether it’s a high-profile symposium or a routine classroom session, the HSIT Audio-Visual team ensures Yale’s spaces are equipped, supported, and ready to shine.
SEPTEMBER 2025 TIPS AND REMINDERS FOR IT SERVICE CHANGES FOR HEALTH CAMPUS:
Research Workflows
A new ServiceNow workflow is now available for clinical researchers working across both Yale School of Medicine and Yale New Haven Health (YNHHS). The Release to Study Monitor form streamlines and integrates key research access processes between Yale and YNHHS.
New forms are underway for Role-Based Access Requests for various research and Epic processes, which are expected to launch later this calendar year.
Artificial Intelligence Tools
NotebookLM has been integrated withYale’s Google Gemini (Free) offering. Approved for use with moderate risk data when logging with your Yale netid, NotebookLM is a research and note-taking tool. It lets users upload documents and use Gemini’s language models to analyze, summarize, and interact with the content.
Software Support
The Health Sciences Technology Advisory Committee (HSTAC) meets monthly with health school representatives to review requests for custom applications, vendor solutions exceeding $10000, and new med-specific AI vendor tools. If you are planning a major software purchase or development, please submit a request for HSTAC review. The next meeting is October 20.
