SHIFTING FROM MOBILE HEARTBEAT TO EPIC SECURE CHAT AND CALLING: Starting September 9, 2025, Yale New Haven Health System and Yale School of Medicine will switch from Mobile Heartbeat to Epic Secure Chat and Epic Calling. This upgrade aims to improve clinical communication and enhance patient safety. Mobile Heartbeat has been the main communication tool for years, but it doesn’t integrate well with Epic or on-call scheduling systems—leading to reliability issues and communication gaps. Epic Secure Chat and Epic Calling offer better features and seamless integration with Epic, available on both mobile apps (Haiku, Rover, Canto) and desktop. Read more about the transition.
STREAMLINING IT WITH MICROSOFT STRATEGIC PLATFORMS: To manage IT software sprawl and reduce costs, HSIT has been consolidating files and processes to Yale OneDrive, Microsoft Teams, and Microsoft Forms, all of which are compliant with high-risk data, including PHI. In FY25, HSIT migrated over 500 users from Yale Box and Yale Secure Box to these Microsoft platforms across the School of Nursing, School of Public Health, and School of Medicine. Similarly, due to institutional limits and charges associated with Qualtrics, HSIT has transitioned to Microsoft Forms for event registration and feedback surveys, which also comply with high-risk data requirements and integrate seamlessly with Teams. This strategic move enhances data compliance, fosters collaboration, and provides real-time results in Excel.
DUO DESKTOP PILOT TO BOOST DEVICE SECURITY: HSIT Technology Support Services (TSS) staff are taking the lead in piloting Yale’s Duo Desktop application. This proactive move is part of a structured rollout designed to enhance device security through real-time health checks at login. Duo Desktop is installed on desktops and laptops (Windows, Linux, Mac) to assess device integrity whenever users access Duo protected applications. It will help ensure compliance with organizational security standards. The current deployment focuses on TSS staff as the first wave, allowing the team to gain familiarity and provide critical feedback before expanding to the wider HSIT organization and supported schools. This staged approach helps ensure that rollout challenges are identified and addressed early, promoting smoother, overall adoption and contributing to maintaining the high security posture expected across our departments.
ANNOUNCING SPINUPPLUS FOR RESEARCH: SpinupPlus is an extension of Yale’s Spinup service powered by the Amazon Web Services (AWS) cloud-based computing platform. SpinupPlus allows researchers to quickly launch secure virtual servers and infrastructure for data analysis, web applications, and other research computing needs while ensuring institutional compliance and scalability. SpinupPlus provides a flexible and scalable solution in a compliant environment, including Protected Health Information (PHI) and NIST 800-171, which is currently mandated by some NIH and other some government contracts. HOPPER: A NEW HIGH PERFORMANCE COMPUTING OPTION FOR NIST-800-171: Hopper is a new research computing platform that offers powerful tools for secure analysis of large-scale data sets. Hopper is a cluster with an initial 60 compute nodes and more than 200 GPUs. It enables advanced simulations and secure use of large language models for cutting-edge research. This platform enhances Yale's ability to handle data-intensive tasks and ensures robust security controls for sensitive research data, whether PHI or NIST 800-171. NEW DASHBOARD FOR YSM RESEARCH: This new dashboard was designed for use by Dean Brown and her research leadership team to gain insights into YSM’s grant proposals, funded awards, and grant spending. Built in PowerBI, the YSM Research Dashboard features data from the Finance Data Mart and the Research Enterprise Data Mart and allows for comparison of current data with the prior fiscal year. The Finance section includes tabs for the Research Dashboard, Sponsor Type Trend, Clinical Trials, Department data, and Funding and Spending by PI. NEW ANALYTICS FOR YSPH, YSN, AND YSM SPACES: The HSIT Enterprise Analytics has been partnering with each of the health schools to improve visibility and transparency of space data to more effectively manage the buildings and rooms on campus. In August, new analytic tools were launched for each school’s unique needs. Yale School of Public Health (YSPH) and Yale School of Nursing (YSN) dashboards provide their respective departments with a centralized platform for on-demand access to space data with weekly updates. The Yale School of Medicine Space Occupancy Report is updated daily, enabling insightful analysis of space utilization by location, department, and occupant. The new report also helps identify discrepancies between Workday locations and AssetWorks space assignments, highlighting potential data errors for review and correction. Digital Signatures
DocuSign is now Yale’s e-signature tool, replacing Adobe Sign. All Yale principal investigators are required to use DocuSign for signatures on the NIH Other Support forms for both proposed and active awards in preparation for SciENcv transitions. DocuSign is pay-per-use.
