REVIEW OF KEY IT SERVICE CHANGES FOR THE HEALTH CAMPUS:
PHI-Compliant Clarity AI in the Works
The current Clarity AI is not approved for PHI. Tentatively as soon as September you should expect to see a new PHI option for Clarity AI including guidelines for use.
New ServiceNow Forms for Clinical Research
For clinical researchers who straddle both Yale School of Medicine and Yale New Haven Health (YNHHS), there will be two new ServiceNow forms in July which will seamlessly connect Yale and YNHHS workflows for key research processes: Role-Based Access Request form for Epic and the Release to Monitor form for IRB.
PDF and Adobe Creative Cloud changes
Beginning July 2025, Yale will be switching to Foxit as the default PDF tool and include it on all managed workstations. Due to increasing software license costs, individuals wishing to use Adobe Creative Cloud will need to purchase license with a COA through a Yale form. The request form and price are in discussion. AdobeSign Transition to DocuSign
Beginning July, DocuSign will become Yale’s preferred e-signature tool, replacing Adobe Sign. Export any historic information from AdobeSign before June 30. DocuSign will be a pay-per-use service, with CFR Part-11 compliance at double the cost of general signatures. Effective August 1, 2025, all Yale principal investigators will be required to use DocuSign for signatures on their NIH Other Support forms for both proposed and active awards in preparation for SciENcv transitions.
Software Review Services
The HSIT-software@yale.edu team fields questions about what software is available, assists with procurement, information security, and other policy questions, consults on alternatives and custom software, and more. This service aims to reduce confusion, minimize risk, and identify potential savings.
If you are anticipating a major software purchase or build, submit a request for review for Health Sciences Technology Advisory Committee (HSTAC). With representatives across health campus, the committee meets monthly to evaluate software projects and products to balance impact and capacity.
HEALTH SCIENCES IT PROJECT HIGHLIGHTS FROM ONE IT FY26 INTEGRATED PLAN REVIEW:
As part of the One IT Integrated Plan review, Health Sciences IT submitted its FY26 initiatives, including a comprehensive list of operational and IT portfolio projects. This effort supports the broader goal of mapping Yale’s technology landscape and enabling greater transparency across the Yale IT community. By sharing this information, IT teams can better align initiatives, identify potential resource conflicts, and foster collaboration in support of the One IT at Yale vision. YALE HEALTHCARE SIMULATION SHOWCASES CUTTING-EDGE TECH: The Yale Center for Healthcare Simulation (YCHS) recently hosted Yale School of Medicine’s Educational Technology & Innovation (ETI) team to showcase advanced simulation tools, including high-fidelity manikins and virtually reality. ETI co-leads Kathleen Omollo, director of health IT strategy & portfolio, and Jaideep Talwalkar, MD, associate dean for educational technology and innovation, praised YCHS’s immersive training environments that help learners practice safely before treating patients. Omollo said, “It was energizing to see how YCHS creates authentic spaces for learning... I’m intrigued by their plans to unite remote learners in shared VR simulations.” Talwalkar added, “The visit inspired us to continue advancing medical education together.” Read the full story.
RETIREMENT CELEBRATION: After 11 years of dedicated service, Dan Holland will be retiring from Yale on July 15. Dan has been a driving force in fostering collaboration between endpoint engineering and desktop support, representing the desktop team in change advisory board meetings, and serving as a key resource for Yale School of Public Health. He shared his appreciation for the many colleagues who supported him over the years, highlighting the invaluable help he received and the meaningful connections he built along the way. Please join us in wishing Dan all the best as he embarks on a well-earned retirement!
