EXCITING ENHANCEMENTS TO HEALTH ON TRACK: Yale's Health On Track system has recently been improved to make managing and tracking student health requirements easier and more efficient. A major update is the integration with TrackMy Solutions, allowing students to request vaccination records from up to 46 state registries. This makes it simpler for students to access their vaccination history and meet vaccination requirements. The system now also generates required health forms online automatically. While some forms may still need to be printed for healthcare providers, students' information and vaccination details will be pre-filled, making the process smoother. The shift from paper forms to online submissions boosts efficiency for both students and Campus Health staff. These updates modernize student health management at Yale, providing a more streamlined and user-friendly experience.
YALE MEDICINE PROVIDER FUNDS FLOW TRACKER: The development of the Yale Medicine Provider Funds Flow Tracker, a Salesforce application designed to serve as a customer relationship management tool for the hundreds of projects managed by Yale Medicine. This innovative tool will enable the storage of business details, categorization of plans by department, tracking and assignment of categories, and providing a centralized view of inquiries. It will also create customizable stages for progress tracking, generate real-time reports, and export raw data. This new application will replace the current method of tracking business plans using Excel documents, streamlining the process and enhancing efficiency. The go-live date for this application is expected to be soon. Stay tuned for more updates as we approach the launch!
YALE HEALTH OPHTHALMOLOGY INTEGRATION WITH EPIC - A COLLABORATIVE SUCCESS: The integration of Yale Health Ophthalmology studies with Epic was mandated by Yale Health and Yale New Haven Hospital System. Historically, clinicians manually entered studies from Heidelberg OCT and Zeiss Humphrey Vision Field devices into Epic, which was time-consuming and error prone.
In November 2022, a hard drive failure in the Optos Daytona retina camera highlighted the need for integration. Yale Health IT decided to automate the filing of ophthalmology studies directly into Epic, ensuring all patient studies were stored in both Epic and Yale Health network storage.
Dr. Vicente Diaz, Chief of Ophthalmology at Yale Health, initiated a project with Yale Health IT and the Yale New Haven Eye Care Center in January 2023 to automatically file ophthalmology studies with Epic. Bryan Little led the technical aspects of the Yale Health Ophthalmology EHR Integration Project - Phase I, which was completed by May 2023.
Phase II began with importing historical and legacy studies into Epic VNA. This phase involved different approaches for each modality and extensive collaboration with vendors and the YNHH Eye Care Center. Though Phase II is not yet complete, Yale Health IT has successfully imported all legacy Heidelberg OCT studies and 75% of legacy Daytona Optos studies into Epic. The work with Zeiss HFA continues and is progressing well.
Michael Gossett is the latest Going the Extra Mile (GEM) Award recipient on the Technology Support Services team, earning over 20 positive feedback submissions last quarter. A standout nomination came from a client at the Yale School of Nursing, who praised Michael for his quick and expert help going far above and beyond by fixing a flat tire. Congratulations, Michael!
GIVING BACK - ISAAC ABAKAH JOINS READ ACROSS AMERICA: Isaac Abakah, our classroom technology & media specialist, read to students at Clinton Ave School during Read Across America. Isaac said, "it was wonderful to connect with the community and support the youth."
RETIREMENT CELEBRATION: Kumar Ganesan, Software Engineer, is retiring after joining Yale in December 2017. During his time with Health Sciences IT, he has been instrumental in maintaining and improving Microsoft Access applications for various departments at School of Medicine. Kumar plans to continue his cherished hobby of painting in retirement.
TECHNOLOGY SUPPORT SERVICES LUNCH & LEARN - EXPLORING THE INTRIGUING WORLD OF RADIO SIGNALS: On March 21, the team gathered for the Monthly Lunch and Learn, where Reed Hansen captivated everyone with his knowledge of radio signals. The session explored various types of radio signals and how they connect communities globally, sparking curiosity about their impact.
