BUILDING DATA EQUITY - A FRAMEWORK FOR FAIRER PUBLIC HEALTH TECHNOLOGY: As data and AI tools increasingly shape public health decisions, a new framework published in JAMA Health Forum calls for stronger data equity to ensure that digital health advancements serve every community. The collaborative work, led in part by Bhramar Mukherjee, PhD, Anna M.R. Lauder Professor of Biostatistics and professor of epidemiology (chronic diseases) and of statistics and data science at Yale School of Public Health, highlights how many populations such as rural residents, people with disabilities, and individuals experiencing homelessness are still missing from the data sets driving today’s algorithms. The authors outline ten core concepts, ranging from fairness and transparency to selection bias and generalizability, offering a practical roadmap that blends computer science principles with public health expertise. By embedding equity across the full data life cycle, from study design to policy translation, one can build more trustworthy systems and improve health outcomes without leaving vulnerable populations behind.
DASHBOARD BOOSTS TRANSPARENCY IN FACULTY RECRUITMENT: Launched on Dec. 18, 2025, the Request for Position (RFP) Dashboard is transforming how Yale School of Medicine (YSM) tracks and manages faculty recruitment by providing automated, end-to-end visibility from initial request creation through final approval. Updated monthly, the dashboard equips YSM leadership and faculty affairs with key metrics at every stage of the workflow, including median processing times across each stage, helps identify bottlenecks, and supports continuous improvement efforts. By strengthening transparency, consistency, and efficiency, the new dashboard enhances the overall effectiveness of faculty recruitment operations. With detailed visualizations and data driven insights, this release lays the groundwork for future enhancements, including linking search outcomes to annual offer data.
TECH SUPPORT SERVICES ADVANCES AV ROOM INVENTORY MANAGEMENT IN SERVICENOW: The HSIT Technology Support Services team has made progress migrating AV (audio video) inventory management into ServiceNow, marking a significant step toward streamlining support operations. The team has successfully uploaded the full AV room inventory, completed development of the new service intake form, and has been actively logging AV related incidents in the platform for the past few months, crucial steps that have helped validate workflows and ensure the accuracy of data ahead of broader adoption. As the next phase unfolds, the team will begin sharing the intake form with the wider community, enabling a more consistent and transparent process for requesting AV support.
YSM ETI LAUNCHES THE ELENTRA LEARNING MANAGEMENT SYSTEM FOR MD PROGRAM CLERKSHIP STUDENTS:
This month, the YSM Educational Technology & Innovation (ETI) team launched the Elentra learning management system (LMS) for MD program clerkship students. This phased implementation involves 2,291 individuals, including students, faculty coaches, clerkship directors, coordinators, and staff. At the midpoint of the project timeline, a strong foundation has been established for the remaining phases through June 2026. This critical LMS initiative continues to progress for both the MD and Physician Associate (PA) programs.
ETI EXPANDS EXTENDED REALITY TO BRAIN MODELS: The YSM Extended Reality (XR) Exploration Study with research investigators in anatomy and surgery wrapped up in December 2025, marking a significant milestone in the school’s ongoing collaboration between the Department of Surgery, the Educational Technology & Innovation (ETI) team, and the Section of Anatomy. Over the fall semester, twenty first-year MD students engaged with high-fidelity 3D anatomical models using Apple Vision Pro devices, reporting greater confidence in identifying key structures and highlighting the value of immersive visualization as a complement to traditional anatomy education. Building on this success, Apple has supplied four additional devices, enabling an expanded spring study focused on brain anatomy, larger group sessions, and new collaborative capabilities. The team is also exploring 3D video applications to bring real-world clinical environments such as emergency rooms and surgical settings into immersive learning, further advancing the integration of XR technologies into medical training. More exciting developments are on the way.
POPHIVE BRIDGES GAP IN PUBLIC HEALTH INFORMATION: Yale School of Public Health is redefining how communities access health intelligence with PopHIVE — the Population Health Information and Visualization Exchange — a data driven platform that centralizes and synthesizes disparate public health datasets into one intuitive digital hub. Built to overcome longstanding fragmentation in public health data, PopHIVE integrates anonymized hospital records, CDC syndromic surveillance feeds, national health surveys, wastewater analytics and even search based signals, transforming them into interactive dashboards and real time visualizations. This IT powered ecosystem not only democratizes complex data but also supports clinicians, epidemiologists, and researchers with advanced filtering, cross dataset overlays, and age stratified analytics, enabling faster detection of patterns such as multiwave RSV activity. PopHIVE’s architecture emphasizes accessibility, interoperability, and high-quality data pipelines — and its insights are now being incorporated into Healio’s AI tools, showcasing how modern health informatics and AI can merge to deliver verified, community-ready intelligence.
STREAMLINING FACULTY HIRING: The HSIT custom application Faculty Offer Letter (FOL) introduces a more efficient, standardized approach to managing faculty offer letters across 28 YSM departments, designed to reduce approval wait times, connect with other systems such as RFP (Request for Position), FSRP (Faculty Search Reporting Process) and Docusign. This unified framework makes it easier to submit requests, capture accurate information, and track progress throughout the workflow, replacing manual steps, and inconsistent processes that previously created delays and errors. The updated process enhances the experience for every participant: users benefit from simplified drafting tools, approvers gain faster and more accurate review workflows, and candidates receive timely, clear, and professional offer letters. By improving transparency, minimizing rework, and reducing administrative overhead, the FOL system enables teams to focus on higher value work while supporting a more scalable and reliable hiring process.

Yale Survey
Yale will migrate the current Qualtrics online survey tool to a new data center this spring to comply with data privacy laws and regulations. To minimize disruption to your work, we are carefully determining the best timing for migration.
During the upcoming migration – to be determined in mid-March or late May - access to the Qualtrics platform will be limited:
Already published and distributed surveys will function as normal.
Users will not be able to access their Qualtrics user accounts.
New survey distributions via email or SMS will not be operational.
Emails sent at the conclusion of a response will be queued and sent upon completion of the migration.
API integrations may be impacted.
Box at Yale
As previously announced on Oct. 9, Yale will retire from the Box at Yale service in March 2026. Files in Box will be automatically moved to Yale Microsoft 365, school-by-school. YSPH and YSN have already migrated files and YH is currently in the process of migration. YSM migration will begin Feb. 20 at 5 p.m. EST and will continue until completed.
HSIT xChange
The HSIT xChange series is a new hybrid forum launching March 6 at noon in The Anlyan Center (TAC) Auditorium. The goal is to ensure faculty and staff are informed, prepared, and heard about upcoming IT changes that could affect the health campus. The forum will provide space to ask questions, share feedback, and request future topics; host think tank discussions and lightning talks on what’s coming next. Your voice will shape the series and guide the content via surveys, polls, focus groups, and Q&A.
